The project aimed to deliver a brand-new office for Elastic’s Middle East team, a high-profile client with elevated expectations for quality and project development.

Key goals included:

  • High Client Expectations: The office was the first for Elastic in the Middle East, with the team expecting top-tier results in terms of both design and functionality.
  • 40-Day Completion Target: With a pre-booked inauguration event already set, the project had a strict 40-day timeline to achieve full completion.
  • Material Constraints: Approximately 60% of the specified materials had long lead times, adding complexity to the procurement process.
  • New Team Collaboration: The project required seamless coordination between newly introduced stakeholders, including a project manager, and overseas design team.

Challenges:

  • UK Design Involvement: The overseas design team from the UK posed a challenge in terms of converting their concepts and designs into practical solutions that fit within UAE specs and the timeline and budget.
  • New Team Collaborations: This project brought together a diverse team—local project managers, and an overseas design team. Establishing a cohesive workflow among these parties was crucial to the project’s success.
  • Cross-border Coordination: Seamless collaboration with the overseas team to bring in design information without time loss or errors was critical for maintaining operations. This cross-border communication added a layer of complexity.
  • Fire-Rated Door Replacement: Replacing the main fire-rated door became a high-risk task due to the need to work with specific vendors and the limited time available for this critical installation.
  • Tight Timeline for Snagging: Given the pre-booked inauguration event, the project had no buffer for post-construction snagging. Any issues that arose during construction had to be resolved quickly, leaving little room for error.
  • Artwork Installation During Construction: Time constraints meant the art installation had to occur during ongoing construction. This required careful planning to ensure that artwork was protected from dust and damage during the final construction stages.
  • Alternative Plans: With potential delays always a possibility, the team had to continuously develop alternative solutions and contingency plans to ensure the handover deadline was met.

Solutions:

  • Weekly Coordination Meetings: Regular weekly meetings were held with the local team, overseas client, and UK-based designers to closely monitor project progress. This allowed quick decision-making and prominent action on any potential delays.
  • Use of Matterport for Progress Tracking: The project utilized Matterport scanning technology to provide the overseas team with a virtual walkthrough of the site. This allowed the client and design team to review progress, suggest corrections, and make improvements remotely, minimizing delays in approvals and adjustments.
  • Snagging Through Virtual Review: The Matterport scans were also used to identify snags, which were then communicated to project stakeholders for timely resolution. This approach helped reduce physical site visits and streamlined the snagging process.
  • Phased Area Completion for Art Installation: To accommodate the installation of artwork during the ongoing construction phase, the project was divided into phases. This allowed the artist to paint the walls while ensuring the artwork was protected afterward, factoring in curing time and final quality.
  • Alternative Proposals to Mitigate Delays: To maintain the tight project timeline, the team developed and proposed alternative solutions within days whenever potential delays occurred. This proactive approach kept the project on track for the fixed handover deadline.
  • Successful Project Handover: The client was highly satisfied with the outcome. The project was completed successfully, with the handover celebrated at Top Gulf, followed by a celebratory dinner on Yacht!
